You will need to submit your three self-assessments as part of this process.
IMPORTANT INFORMATION TO NOTE
During the audit, your auditor will:
- Conduct an escorted tour of your school to review facilities and observe staff in their normal roles.
- Conduct staff interviews to assess familiarity with procedures and record keeping requirements.
- Verify staff are competent in the roles they are performing.
- Verify the health, safety and well-being of staff and boarders meets requirements.
- Review documents and records (refer to the last page for details) to verify compliance with procedures and requirements of the standard.
To minimise the time it takes to conduct an audit, please make sure that you are ready for your audit by:
- Making sure that your information is up to date.
- Having your records in good order - this will avoid time wasted searching for records.
DOCUMENTS REQUIRED DURING A BOARDING SCHOOL AUDIT
Access to the following records is required in order to assess compliance with the record keeping requirements of AS 5725:2015 "Boarding Standard for Australian schools and residences".
All information obtained during the audit is treated with strict confidence. Please discuss any privacy issues at your school before going ahead with the audit as certification requires these documents are sighted.
Please note that electronic records and documents are acceptable. Please don't print an electronic document if access to the document can be made available to the auditor on the day of the audit.
Governance Documents
- Organisation chart.
- Risk matrix.
- Financial records including most recent audit report and boarding school budget.
- Records relating to reviews of complaints and incidents (such as bullying or medical incidents).
- All policies and procedures required by the standards.
Boarding Staff Records
- Staff handbook.
- Training and induction records (including CPR and first aid).
- Professional development records.
- Duty reports.
- Rosters.
- Annual appraisal / performance review records.
- Employment contracts.
- Records of all current boarding staff "Working with Children" safety checks.
- Risk assessments for special events.
Boarder and Parent Records
- Parent / Boarder handbook.
- Boarding School / Parent agreements.
- Boarder specific needs and action plans.
- Records relating to leave and leave authorisations.
- Records related to medical supervision including authorisation and dispensing of medicines.
Facilities & Maintenance
- All relevant building, vehicle and equipment/plant inspection and approval records.
- Maintenance schedules and records.
